Privacy Policy

This policy explains how EdVantiq, Inc. handles information on this website and in the Mentor Match application. We collect as little as possible, and we never sell your data.
1. Who we are
EdVantiq, Inc. (“EdVantiq,” “we,” “us”) operates the website at edvantiq.com and provides Mentor Match, a mentorship-matching platform for universities and organizations. We are headquartered at 3708 E 29th St, Unit 340, Bryan, TX 77802, and you can reach us at founders@edvantiq.com.
2. This website
This website is intentionally lightweight. On edvantiq.com we do not use cookies, analytics, advertising, or tracking of any kind, and we do not ask you to create an account or submit a form.
Two third-party services are involved when you browse:
- Web fonts. We load a display typeface from Fontshare (api.fontshare.com). To serve the font, that provider necessarily receives your browser’s IP address and request headers. We do not send it any other information.
- Meeting scheduling. Our “book a meeting” tool is an embedded Google Calendar scheduling page. If you choose to book a time, the details you enter there (such as your name and email) go to Google and are handled under Google’s privacy policy, not this one.
3. The Mentor Match application
Mentor Match runs as a separate application that participating institutions make available to their approved students, faculty, and staff. Within the app we process:
- Your profile — name, academic program, skills, interests, and contact information;
- Your uploaded resume, if you provide one;
- Messages you exchange with a mentor you have been matched with; and
- De-identified usage analytics that help us understand how the program is going. These records carry no name or account identifier and cannot be traced back to you.
We use this information for one purpose: to match students with relevant research and job mentor positions and to let mentors (faculty and staff at your own institution) review candidacy. Your records are visible only to mentors within your institution’s program — not to the public and not to other institutions.
We do not sell your data, and we do not use it for advertising. To operate the service we rely on a small set of service providers for cloud hosting and file storage, content delivery, email delivery, and push-notification delivery. Push notifications are content-free — they contain no names or message previews. The semantic matching that powers Mentor Match runs on our own servers; your profile and resume are not sent to any third-party AI service.
4. Education records and FERPA
For students, the information above constitutes “education records” under the Family Educational Rights and Privacy Act (FERPA). When we process these records, EdVantiq acts as a “school official” with a legitimate educational interest under 34 CFR § 99.31(a)(1)(i)(B), performing a service the institution would otherwise perform itself.
This means your institution remains in control of your education records. We access and use them only under the institution’s direction, only for the matching service, and never for any unrelated purpose. We obtain your consent inside the app before your profile is shared with mentors, and you can withdraw that consent at any time from Settings. Withdrawal removes you from mentor discovery and matching going forward.
5. How long we keep information
This website stores nothing about you, so there is nothing to retain. For the Mentor Match application:
- Your profile, resume, messages, and match history are kept while your account is active and are deleted when you delete your account or when the program ends. Deleted records age out of all system backups within 30 days.
- Security and access logs are retained through a 90-day window and then purged.
- De-identified analytics are not tied to your account and cannot be re-identified once the program’s de-identification key is destroyed at program end.
6. Your rights
You can review and correct your own profile directly in the app at any time. You may also request a full copy of your records or ask us to correct them; we respond within 45 days, consistent with FERPA § 99.10(b). To delete your account and associated records, use the in-app option or contact us.
Where your institution is the party with authority over your education records, we will coordinate access, correction, and deletion requests with it.
7. Children
Mentor Match is offered to enrolled university students, faculty, and staff and is not directed to children under 13.
8. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above and, for material changes affecting the app, present the updated notice within the app.
